Room scheduling systems

A room scheduling system is essential for any organisation that uses meeting rooms. Normally these systems inform users of scheduled room dates, times and users over a network using familiar programs such as Microsoft Outlook or Lotus Notes, or via an interactive touch panel screen outside a room.
A red or green light can give a useful indication of the current room usage. Both systems enable users to instantly check availability and book a room some time ahead, or at short notice for an impromptu meeting.
The advantage of a networked system is that anyone on the network can access the data at any time, rather than needing to visit the touch screen outside the room. A useful refinement of a networked system is that meeting agendas and notes can be electronically distributed to participants, and meetings can be automatically entered into the participants’ online calendars. Normally, meetings can be easily extended if the room is not booked at the end of a scheduled meeting. A scheduling system is very useful to avoid interruptions to meetings, as all necessary information can be accessed without entering a room. Some systems can even generate reports that analyse room usage.
